SITE 2026 Conference Event Sponsor Contract

This Event Contract Agreement (the "Agreement") is entered into on [Date] between Society of Insurance Trainers and Educators (referred to as the "Service Provider") and the "Client" listed within this agreement, collectively referred to as the "Parties."


Event Details:
Event Name: Society of Insurance Trainers and Educators 2026 Conference – SITE Gets Weird 
Event Date: November 18-19, 2026 
Event Time: 8:00 AM-5:30 PM each day
Event Location: JW Marriott Hotel, Austin, Texas 


Payment: The Client agrees to pay the Service Provider the designated amount indicated in the Client's sponsorship agreement for the services offered by the Service Provider within the Sponsorship Prospectus (attached) for the sponsorship level selected. Payment shall be made as follows: Credit card via invoice or Check payable to Society of Insurance Trainers and Educators. All payment for services are due net 30 from issuance of invoice.


Cancellation:In the event that the Client cancels the contract, the Client may be responsible for 50% of the total contract amount. 

  • Cancellation of the contract prior to 12:01 AM on September 15, 2026, will alleviate the Client of any payment of the contract amount.
  • If payment is already made and the contract is cancelled on or before 12:01 AM on September 15, 2026, the Client will receive a 100% refund of the contract amount paid.
  • If payment is already made, and the contract is cancelled after 12:01 AM on September 15, 2026, the Client will receive a 50% refund of the contract amount paid.

All cancellations shall be in writing (e-mail sufficient) and sent by an authorized person.

Use of Client's Logos and Trademarks: Client grants Service Provider a limited, nonexclusive, non-transferable right to use Clients's logos, trademarks, and branding materials solely for the purposes of promoting and executing the event. Service Provider agrees to use these materials in accordance with Clients's brand guidelines and to discontinue use upon the termination of this Agreement.


Changes to Services: Any changes to the services outlined in this contract must be agreed upon in writing by both Parties.
Liability: The Service Provider shall not be held liable for any damages, injuries, or losses incurred during the event.
Indemnification: The Client agrees to indemnify and hold the Service Provider harmless from any claims, damages, or expenses arising from the event.


Confidentiality: Both parties agree to keep any proprietary or confidential information obtained during the term of this Agreement confidential.

Electronic Signatures. The parties agree that this Agreement and any related documents may be executed and delivered by electronic signature, including but not limited to signatures delivered via PDF, scanned image, electronic signing platform, or other electronic means. Such electronic signatures shall be deemed to have the same legal effect as original handwritten signatures for all purposes, including validity, enforceability, and admissibility. Each party agrees that they intend to be bound by their electronic signature and that no certification authority or third‑party verification is required for the electronic signature to be valid.


Force Majeure: Neither Party shall be liable for any failure or delay in performing their obligations under this Agreement due to circumstances beyond their reasonable control.


Governing Law: This Agreement shall be governed by and construed in accordance with any and all applicable contract laws in the state of Georgia. In the case of a conflict of laws issue, the laws of the state of Georgia will govern.
